About the Job

Reporting to the Senior Manager (Gift Management & Administration), the position holder supports the advancement team by ensuring the accuracy, completeness and timeliness of donor, prospect and donation data in the fundraising database. As the Advancement Office is migrating to a new fundraising database, the position holder is expected to work with the team to review processes and provide analysis to ensure data standards are developed, implemented and adhered to, in order to maintain the integrity of the information which is critical as it will set the stage for the success of the new fundraising database. As such, this role is important in maintaining strong data hygiene practices, as this will support the team with accurate information to guide cultivation and stewardship activities.

What You Will Be Doing

Key Responsibilities:

Data Management & Data Entry

  • Review data migrated from current database to new database and perform checks to ensure accuracy of record.
  • Perform timely and accurate data entry and analysis of donor, prospect and donation information so that it is accurately reflected in the fundraising database.
  • Work closely with fundraisers and other internal stakeholders to verify and update donor and prospect information.
  • Update and maintain donor and prospect records, including pipeline and engagement activities, to ensure completeness and consistency for data integrity.
  • Conduct regular data checks to identify and rectify duplicate records, missing fields, and data inconsistencies.

Data Hygiene & Quality Control

  • Develop and maintain clear documentation of data definitions, processes and standards to support consistent data practices across the teams.
  • Monitor data quality and implement data hygiene practices to ensure records remain accurate and updated.
  • Lead periodic database audits and data clean-up initiatives to strengthen data integrity.
  • Ensure adherence to established data standards and documentation practices.

Process improvement & Administrative Support

  • Review existing data workflows and identify opportunities to improve operational efficiency and data management processes.
  • Maintain organised records and documentation relating to donor and prospect data.

Job Requirements

  • Bachelor’s degree in a related discipline or equivalent.
  • At least 3-5 years of relevant working experience in administrative or database management is preferred. 
  • Strong organisational skills with proven ability to analyse and perform to a high level of accuracy with attention to detail.
  • Ability to analyse data and manage large datasets effectively.
  • Experience with CRM systems is preferred.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint).
