About the Job

The Assistant Manager / Manager will oversee the operational backend processes and workflows for External Relations (ER), ensuring seamless functioning and alignment with SUSS’ goals. This role plays a critical part in managing business-as-usual tasks, responding to MOU and agreement-related queries, facilitating external engagements, and driving process automation and optimisation to enhance operational efficiency.

The appointee will also lead the consolidation and reporting of MOUs and agreements, provide advisory support to internal stakeholders, host external visits to foster positive collaborations, and manage systems related to SkillsFuture Singapore (SSG) funding and Training Partners Gateway (TPGateway) setup, including claims and invoicing processes.

What You Will Be Doing

Key Responsibilities: 

  • Operational Management: Oversee and manage day-to-day processes, workflows, and backend operations to ensure smooth functioning and strategic alignment.
  • Process Automation and Optimisation: Drive the implementation of automation initiatives to streamline contract management, project management, and operational workflows, ensuring improved efficiency and accuracy.
  • MOU and Agreement Advisory: Serve as the primary point of contact for MOU and agreement queries, providing advisory support to schools and centres.
  • Data Reporting: Consolidate and report on MOUs and agreements, ensuring progress aligns with intended outcomes.
  • SSG Funding and TP Gateway Management: Manage end-to-end SSG funding processes and TP Gateway, including claims, invoicing, and module setup.
  • Hosting of External Visits: Coordinate and host external visits, conducting background research and ensuring positive stakeholder experiences.
  • MOE Requests: Respond to MOE information requests, ensuring timely and accurate submissions.
  • Other Duties: Perform other related duties as assigned.

Job Requirements

  • Bachelor’s degree.
  • Proven experience in operations management, process automation, and stakeholder engagement.
  • Strong organisational, multitasking, presentation and communication skills.
  • Demonstrated expertise in managing SSG funding processes and setting up the TP Gateway, including claims, invoicing, and module setup.
  • Demonstrated ability to identify and implement process improvements and automation solutions.
  • Strong acumen in problem solving, critical thinking, logical/analytical, and process improvement skills, with the ability to manage multiple priorities.
  • High learning agility, be able to work under time pressure, and be highly adaptable to thrive in a fast-paced, fast-changing environment.
