Assistant/Manager, Facilities Management

The Institute for Adult Learning (IAL), an autonomous institute of the Singapore University of Social Sciences (SUSS), is at the forefront of building capabilities and offering continuing professional development for an effective, innovative and responsive Training and Adult Education (TAE) sector.

We invite applications from suitably qualified and experienced candidates for the position of Assistant Manager or Manager, Facilities Management. Reporting to the Principal Manager, Finance & Resource Planning, the successful candidate will work with internal stakeholders and outsourced service providers to ensure the effective maintenance and operational readiness of IAL’s facilities. 

What You Will Be Doing

The appointee will undertake the following responsibilities, as well as other duties assigned by Management to support organisational needs. 

  • Coordinate facilities-related matters within IAL’s premises, including preventive and corrective maintenance, in liaison with building management and service vendors.
  • Oversee the upkeep and readiness of training rooms and workplace facilities to support programmes and daily operations.
  • Manage facilities-related contracts and supervise outsourced service providers to ensure service standards are met.
  • Coordinate renovation, upgrading, and improvement works within the premises where required.
  • Oversee premises security arrangements and related systems such as CCTV and access control.
  • Manage facilities-related budgets and expenses to ensure cost-effective operations.
  • Develop and implement standard operating procedures and best practices to support effective facilities management and service delivery.
  • Support Business Continuity Management (BCM) initiatives by coordinating facilities preparedness and response arrangements for operational disruptions or emergencies.
  • Monitor vendor performance and service delivery standards while ensuring compliance with relevant safety, health, and regulatory requirements.
  • Undertake other duties, including participation in cross-divisional projects, as assigned by Management from time to time to support organisational priorities and staff capability development. 

Job Requirements

  • At least 5 years of relevant work experience in facilities management, building services, or a related field. Experience in coordinating maintenance works, managing service vendors, and overseeing facilities operations within an organisational environment will be advantageous.
  • A Diploma or Degree in Mechanical, Electrical, Building Services, Facilities Management, or a related discipline. Candidates with relevant professional certifications or practical experience in facilities operations will be considered favourably.  
  • Strong technical knowledge of facilities operations and maintenance practices, with good problem-solving and analytical skills to address operational issues effectively.
  • Strong interpersonal and communication skills, with the ability to work collaboratively with internal stakeholders, building management, and external service providers to support operational needs.
  • Good organisational and time management skills, with knowledge of procurement processes and the ability to manage multiple tasks and priorities in a dynamic work environment.

 

The successful appointee will be based in IAL Campus located at Lifelong Learning Institute next to Paya Lebar MRT station.
