The Executive, HR Shared Services will be responsible for managing employee enquiries, administering HR processes across the employee lifecycle, maintaining data integrity, and ensuring service requests are resolved effectively and efficiently. This role is ideal for an individual who enjoys interacting with people, solving problems, and driving service excellence. This is a 6 months contract role.
Job Description
Key Responsibilities
- Manage and execute end-to-end HR transactions across the employee lifecycle, including onboarding, employee movements, confirmation, contract renewals, transfers, promotions, work pass administration, leave administration, and exits.
- Serve as the first point of contact for employees on HR-related enquiries and service requests, providing professional, accurate, and timely support in accordance with established service standards. Promote self-service where appropriate and escalate complex cases while maintaining ownership of follow-up and communication.
- Manage, track, and monitor employee enquiries and service requests to ensure timely resolution, closure, and achievement of agreed service level standards. Provide employees with regular updates on the status of their requests where necessary.
- Maintain, audit, and validate employee records, personnel files, and HRIS data to ensure completeness, accuracy, confidentiality, and data integrity.
- Administer training processes, including coordination with external training providers, submission of SSG claims, and processing of related payments.
- Liaise with internal stakeholders (e.g., Payroll, HR Business Partners, Infrastructure, IT, and other departments) to ensure seamless and efficient processing of HR-related matters.
- Ensure HR processes, documentation, and practices comply with university policies, employment legislation, and MOM regulations.
- Support data validation, reporting, audits, and HR operational administration activities as required.
- Identify recurring employee issues and opportunities for process improvement. Contribute to the development and maintenance of HR knowledge resources, FAQs, SOPs, and employee self-service materials.
- Participate and support in HR process enhancement initiatives, including UAT in new system features, automation and digitalisation projects.
- Contribute to cross-functional HR projects and perform any other HR operational and administrative duties as assigned.
Job Requirements
- Diploma or Degree in Human Resource Management, similar or equivalent.
- At least 2–5 years of HR operations or shared services experience, preferably in a large or public sector organisation.
- Proficiency in HRIS systems (SAP SuccessFactors) and Microsoft Office applications.
- Good knowledge of Singapore’s employment laws and HR practices.
- Strong customer service orientation and commitment to delivering a positive employee experience.
- Excellent interpersonal and communication skills.
- Strong attention to detail and ability to manage multiple priorities.
- Ability to work independently and collaboratively in a fast-paced environment.
