About The Job

This role is accountable for supporting the Centre in ensuring effective/efficient client services, events/programs delivery and systems update/management. It includes managing client appointment/schedules, planning for programs, collating data and feedback for improvements and overseeing maintenance of key centre infrastructure. 

What You Will Be Doing

Job Responsibilities

Client Services

  • Work onsite and attend to client queries over the phone, email and in person.
  • Support the general management and administration of centre operations (e.g., manage appointment systems, management of client service and schedule amendments).
  • Highlight trends, observations and provide recommendations for improving existing process.
  • Support all related administrative work.

Office Maintenance Support

  • Collaborate with outsourced vendors to maintain the office premise and infrastructure.
  • Assist in procurement processes (e.g., purchase of materials for workshops participants).
  • Keep records of inventory of books and archival records.

Program Event Support

  • Organise and support logistics for meetings, workshops, and student/staff engagement events.
  • Extract and organise feedback of participants as reports to management.
  • Highlight trends, observations and provide recommendations for improving existing process.
  • Work on other tasks as assigned by the centre leaders.

Research/Evaluation Admin Support

  • Evaluate data and provide analysis reports to management.
  • Assist in data consolidation and reconciliation to prepare for data migration to new system platform.
  • Assist with onboarding, data migration, and documentation for legacy document.

Job Requirements

  • Degree holder with at least 3 years of work experience, preferably in the field of data analysis, information technology, and administration.
  • Strong attention to detail and ability to manage details.
  • Proficient in Microsoft Office applications (preferably intermediate to advanced Excel skills)
  • Good communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Commitment to continuous learning and professional development.
