About The Job

We are seeking an enthusiastic and organized individual support operations for our undergraduate and postgraduate programmes. This role involves collaborating with internal and external stakeholders to ensure seamless administrative processes and exceptional student experiences.

The incumbent can look forward to the opportunity to contribute towards shaping and optimizing operational processes impacting student success, and to a collaborative and dynamic work environment fostering professional growth.

What You Will Be Doing

Specific (90%)

  • Process Coordination: Co-ordinate and maintain efficient process for operations and activities within the department, and supporting operations to ensure effectiveness and compliance with standards.
  • Stakeholder Liaison: Act as a liaison between internal and external stakeholders, facilitating communication and collaboration on administrative matters pertaining to student records and related activities.
  • Student Support: Address student enquiries promptly, providing comprehensive solutions for routine and escalated cases, fostering a positive and supportive environment for student success.
  • Workflow Documentation: Document and continuously improve workflow procedures for departmental activities, optimizing efficiency and effectiveness.
  • Programme Operations Oversight: Participate in the operations of programmes, including billing, student academic records, deferment, transfers/withdrawals, major/minor declarations, academic warnings/terminations, and graduations. Resolve issues that arise with precision and timeliness.
  • Guides and Training Material Development: Create comprehensive guides, FAQs, and workflows for internal staff and students, aiding their understanding and usage of new systems effectively.
  • System Testing and Support: Provide support for data migration and conduct essential pilot testing for new system functionalities. Resolve major issues before roll-out, ensuring a smooth transition for the team and making necessary adjustments.

General (10%)

  • To provide support to the Manager of Student Records and Assistant Director of Office of Academic Services and perform any other duties as assigned by him/her. 

Job Requirements

  • Degree/Diploma holder.
  • At least 1 year of relevant work experience.
  • Able to work independently.
  • Must be IT-savvy.
  • Resourceful and able to multi-task.
  • Team player with good communication and interpersonal skills.
  • Good problem solving and troubleshooting skills.
  • An effective planner and organizer.
