About The Job
To work with the Supervisors, Alumni Relations, to foster long-term relationships with alumni and Partners (both external and internal)through various communication platforms, events and activities; to achieve the University’s mission by providing efficient and effective administration of operations within Alumni Relations.
What You Will Be Doing
Key Responsibilities
1. Alumni Communication:
- Assist the manager in the dissemination of communication strategies and plans for Alumni Relations
- Ensure consistent messaging across all channels of communication
- Attends to alumni queries either via walk-ins, calls or emails
- Must be able to hold conversations, speak with confidence and articulate well when engaging alumni or partners
2. Partnership Development
- Assist the manager in the administrative duties when dealing with partners and industries/companies
- Assist the manager in the rolling out of the marketing plans and campaigns
- Assist in the execution of events and coordinate with partners to ensure successful event outcomes.
- Must be a tactful communicator when engaging partners
3. Volunteer and partner Management
- Assist the manager in maintaining and enhancing relationships with alumni networks and volunteer groups
- Admin support for all partners, alumni and internal teams (supporting the Schools POCs and University Events)
- Work closely with internal or external stakeholders
4. Content Creation and New Media
- Assist in the support of all communication materials (e.g alumni newsletter; new digital media - FB, IG, LinkedIn; SUSSConnect; reports)
- Ensure content aligns with organizational goals and branding
- Assist the manager in the curation, development and administering of the communication plan and calendar for all communication media
- Assist to generate regular reports on initiatives and campaigns
- Essential to be updated with media trends and developments
- Must be proactive and propose new technology that best meets the needs of the alumni community
5. Internal Communication:
- Assist in the facilitation of effective internal communication to ensure alignment with external messaging.
- Assist in the support to internal teams from Schools; IAL and key departments in area of SUSS alumni branding and messaging
- Attend to alumni queries for transcripts, certification letters or any other documents requested from the alumni via hotline, emails and walk-ins
6. Design and Publicity
- Knowledge of Photoshop/Canva or designing tool or application to develop collaterals and mailers
- Experience in the development of videos to profile alumni (knowledge of simple video editing would be an advantage)
Job Requirements
- Degree Holder with at least 3 years of relevant working experience, especially in digital marketing and event management
- Mature, meticulous and possess high level of discretion and integrity
- Effective interpersonal skills with excellent command of written and spoken English
- Creative writing skills and curation of content
- Resourceful team player who is able to work independently and able to multitask in a fast paced environment
- Proficient in Microsoft Office applications; design and video software such as Photoshop and Canva
- Able to do data analysis and information research; design of collaterals and mailers
- Ability to communicate well so as to act as liaison and help reach out to stakeholders, such as faculty and admin staff from other departments and divisions as well as associates and other stakeholders
- Required to work overtime and on weekends as needed to support events
- Perform related duties as required or deemed appropriate to accomplish the assigned duties and responsibilities of this position
