About the job

Are you passionate about creating memorable experiences and bringing ideas to life? Are you a detail-oriented individual with exceptional organisational skills and a flair for creativity? If so, we have an exciting opportunity for you as part of SUSS’ Events team. You will play a pivotal role in the planning and execution of a diverse range of key university events. From inception to completion, you will collaborate closely with vendors and internal teams to ensure seamless coordination and flawless execution.

​The Events team is part of the Communications and Marketing ​Department, which sits within the Office of Strategic Partnership and Engagement (SPE). SPE is instrumental in aggregating and coordinating partnerships and collaborations with industry leaders, business communities, organisations, academic institutions and policymakers. It also works closely with internal stakeholders to articulate and drive the University’s value proposition and creation that furthers the University’s vision and mission.

What you will be doing

Key Responsibilities: 

Organising Key University Events 

  • Oversee event preparations including sourcing and procurement of logistics, collating attendance and vendor management. 
    • Ensure all logistics/procurement are completed on schedule. 
    • Disseminate accurate and timely information to internal and external stakeholders. 
    • Work with all stakeholders to ensure the success of events
    • Facilitate reporting to the team and management on progress of the event. 
    • Oversee events budgeting and expenditure tracking. 
  • Work towards achieving event targets and enhancing the University's reputation and branding. 
  • Collate post-event feedback and review work processes to propose improvements for future events.

Support School Events 

  • Review event support requests and processes. 
  • Advise organising school/office on events management. 
  • Provide advice and guidance on logistics and protocol matters. 

Admin/Others

  • Monitor budget utilisation and facilitate reporting. 
  • Support administrative matters, including, but not limited to, budget preparations, asset management, purchase requisitions, website support and other activities when required. 
  • Support ad-hoc cluster/department activities and events. 

Job Requirements

  • At least a diploma or equivalent. Qualifications in event management related discipline would be an advantage. 
  • At least 3 years of relevant working experience in event management. Experience in organising graduation ceremonies or school-related events would be an advantage.  
  • Proficiency in Microsoft applications. Proficiency in graphic design software would be an advantage.
  • Outstanding interpersonal and communication skills with cultural sensitivity towards students of different backgrounds.
  • Resourceful, analytical, meticulous and excellent organisational skills.
  • Strong ability to manage multiple priorities with professionalism and deliver quality results in a timely manner. 
  • Strong sense of responsibility and a positive working attitude. 
  • Able to work independently and as a team player. 
  • Able to work extended hours when required to support events preparations. 
  • Always observe a code of strict confidentiality.
