About The Job

The HR Officer, Shared Services (6-month Maternity Cover) plays a key role in delivering efficient and employee-centric HR operational support within the University’s shared services model. The role supports the smooth and timely execution of core HR processes, ensuring service excellence across end-to-end HR transactions, faculty claims administration, HR systems administration, and the maintenance of accurate and reliable HR data.

What You Will Be Doing

Key Responsibilities

  • Manage and execute end-to-end HR transactions, including onboarding, confirmation, contract renewals, transfers, promotions, and exits.
  • Maintain and conduct audits of P-files and HRIS records to ensure data completeness, accuracy, and integrity.
  • Administer training processes, including coordination with external training providers, payment processing and claiming for Absentee Payroll (AP) funding.
  • Administer and process faculty claims, ensuring compliance with university policies and funding requirements.
  • Administer leave and HR processes in accordance with university policies, employment laws and MOM regulations.
  • Liaise with internal stakeholders (e.g., Payroll, HR Business Partners, Infrastructure, IT) to ensure seamless processing of HR-related matters.
  • Serve as a key point of contact for employee queries, ensuring timely and effective resolution and promoting a service-oriented culture.
  • Contribute to cross-functional HR projects and any ad-hoc HR operational/administration duties as assigned.

Job Requirements

  • Diploma in Human Resource Management, similar or equivalent.
  • At least 3–5 years of HR operations or shared services experience, preferably in a large or public sector organisation.
  • Proficiency in HRIS systems (SAP SuccessFactors) and Microsoft Office applications.
  • Good knowledge of Singapore’s employment laws and HR practices.
  • Meticulous, detail-oriented, and able to handle confidential information with discretion.
  • Excellent interpersonal and communication skills with a strong customer service mindset.
  • Proactive team player with the ability to work independently in a fast-paced environment.
  • Strong communication and interpersonal skills to work effectively across teams and levels.
