About The Role

This job holder will be required to perform administrative and operational duties as part of library services to support the learning, teaching, and research activities of the SUSS community.

What You Will Be Doing

Key Responsibilities: 

  • Perform day-to-day operations such as opening and closing of the physical library, shelving of books, simple resource repairs, circulation tasks, which include the fulfilment of loan requests and reservations through retrieval, assignment on pickup locker or courier, renewal, and return.
  • Perform service desk duties, which include requests for loans and reservations, as well as answering library related enquiries on collection, services, circulation, facilities, and physical space etc.
  • Perform inter-library loans, coordinate book collection, monitor external loans, ensure timely collection and return of resources, and maintain loan records.
  • Ensure that all library equipment is in good working condition and maintain good housekeeping of the library space, such as ensuring clear labels and signages.
  • Perform collection maintenance duties such as deselection and disposal of library resources, stocktaking, shelf-reading, and inventory management which entails moving, packing, organising and retrieving library resources.
  • Carry out procurement of physical and electronic books, including handling order requests, searching and verifying holdings and bibliographic information, placing orders, and processing invoices.
  • Assist with simple cataloguing and processing of library resources.
  • Provide administrative support by collecting and compiling collection data and usage statistics and  monitoring the library email account.
  • Assist with outreach efforts, displays, programmes and library events such as student orientations.
  • Develop a good understanding of library users and their profiles through day-to-day ground engagement to discover gaps in collection/services and provide feedback to librarians.
  • Provide prompt and adequate support during incidents and emergencies.
  • Curate and design simple library collaterals and promotional materials using graphic design tools such as Canva.
  • Coordinate and disseminate library collaterals and promotional materials to relevant departments
  • Perform other duties as assigned.

Job Requirements

  • Recognised Diploma
  •  Positive attitude and possess good customer service skills
  • Able to work independently and as a team
  • Good oral and written communication skills
  • Proficient with MS Office (Word, PowerPoint, and Excel)
  • Able to multi-task with good time management skills
  • Able to perform shift work and work on evenings, weekends, including Sundays
  • Previous working experience in a library will be an advantage
