About The Job
This role will work closely with the Head of Leasing & Resource to oversee staff relocations, lease administration, and event logistics, ensuring smooth operations and delivering outstanding experiences for stakeholders
What You Will Be Doing
Lease Administration
• Coordinate lease renewals, terminations, and negotiations in collaboration with relevant stakeholders.
• Monitor key lease dates and ensure compliance with contractual obligations.
• Maintain comprehensive lease documentation for audit and reporting purposes.
Space Planning & Design
• Implement space planning strategies to optimise spatial layouts.
• Provide recommendations that align with institutional needs and long-term growth priorities.
Space Allocation, Review & Audit
• Conduct regular audits of space utilisation and recommend improvements.
• Review space allocation requests and provide strategic recommendations.
• Monitor and maintain space inventory databases.
• Propose creative solutions for maximising underutilised spaces.
Event Support
• Provide logistical and operational support for campus-wide events.
• Coordinate venue arrangements, equipment setup, and other event-related needs.
• Ensure events are executed flawlessly, enhancing the campus experience.
Additions & Alterations (A&A) and Upgrading Works
• Manage renovation, upgrading, and retrofitting projects to enhance campus facilities.
• Liaise with contractors and consultants to deliver projects on time and within budget.
Move Management
• Plan and coordinate office moves, staff relocations, and space reconfigurations.
• Liaise with internal teams and external vendors to ensure smooth transitions with minimal disruption.
• Maintain accurate records of space usage and moves for future planning.
Project Management
• Drive selected initiatives from the LRS/INF Workplan that contribute to strategic outcomes in leasing, space optimisation, and infrastructure enhancement.
• Oversee a resource optimisation or consolidation initiative that enhances operational effectiveness and stakeholder value.
Job Requirements
• Bachelor’s degree in Facilities Management, Business Administration or a related field.
• 5 years of experience in Additions & Alterations, Project management, space planning, facilities coordination, or similar roles.
• Proficiency in space management software and lease management systems is preferred.
• Demonstrated ability to handle multiple priorities effectively.
