About The Job

In this role, you will assist the Manager to manage key functions relating to Infrastructure and Facilities Management which includes space planning, allocation, renovation, relocation and other related projects which supports the growth of SUSS infrastructure in relation to current and future staff expansion.

What You Will Be Doing

Key Responsibilities

Space Planning & Allocation

  • Assist in conducting space audits and needs analysis across departments.
  • Support the planning and allocation of office, teaching, and shared spaces to optimise utilisation and support organisational growth.
  • Allocate and assign workspace for new hires in coordination with HR and departmental needs. Maintain and update records on staff headcount and office seating and track staff movement including attrition to support accurate space planning and utilisation.
  • Maintain accurate records and layout drawings of space assignments.

Renovation & Fit-Out Projects

  • Assist in the planning, budgeting and tendering process of renovation and fit-out projects.
  • Review and verify vendor’s progress claims, variation orders and invoices to ensure accuracy, alignment with contractual terms and actual work completed.

 

Office Relocation & Move Management

  • Coordinate and execute relocation exercises for departments and operational units, including developing move schedules, floor layout planning, and oversight of packing and unpacking activities.
  • Liaise with vendors, IT, and internal stakeholders to ensure all furniture, equipment, and services are properly transferred and set up at the new location.
  • Ensure minimal disruption to daily operations and provide on-site support during physical moves to facilitate a smooth transition.
  • Maintain documentation of moves and update occupancy records accordingly.

Stakeholder Engagement & Support

  • Liaise with academic and administrative departments to understand their space and facilities needs.
  • Provide responsive support for ad-hoc facilities requests and ensure follow-through to resolution.

Administrative Support

  • Assist to review lease agreements and related documents to ensure key terms, timelines, and obligations are accurately captured and followed up.
  • Raise and process purchase requests, quotations, and procurement documentation in accordance with institutional policies and procedures.
  • Provide general administrative support for infrastructure and facilities-related operations.

 

Job Requirements

  • Bachelor’s degree in Business Administration, Project and Facilities Management or related field.
  • 3+ years of experience in administrative or a related role.
  • Ability to communicate effectively and engage stakeholders at all levels 
  • Proficient in Microsoft Office applications
  • Able to do data analysis and information research
