About The Job
This Senior Executive position provides essential operational support within the Resource and Scheduling Department particularly in sustaining the strategic shift towards automation and data-driven scheduling to ensure smooth service delivery to students and other stakeholders.
What You Will Be Doing
Key Responsibilities
Data Analytics and Automation Management
- Analyse enrolment trends, classroom occupancy, and student scheduling data to generate actionable insights and support strategic decision-making.
- Utilize coding/programming skills (e.g. Python, SQL) to automate repetitive scheduling tasks and data validation processes within the system.
- Apply analytical tools (e.g., Power BI, Tableau) to track KPIs such as classroom utilisation.
- Adopt data-driven methodologies to prepare for management reports
Operational Support
- Supervise and provide coaching for a small team of Executives and Senior Officers, ensuring clarity of SOPs, quality checks, and timely completion of tasks.
- Manage the end-to-end process for course, lab and exam venue scheduling, ensuring 100% data accuracy and real-time visibility for students and instructors.
- Handle and resolve complex operational issues and case escalations promptly and effectively by proposing resolutions supported by data-driven insights.
- Process and track instructor deployment and course updates, ensuring accurate scheduling in systems.
- Investigate and document feedback, complaints and logistics issues, handling case escalations effectively and in adherence to established protocols.
- Manage critical data entry and integrity within the scheduling system and related platforms, ensuring data accuracy for system-wide reporting and usage.
Process Optimization and Knowledge Building
- Conduct regular reviews of system workflows and scheduling processes to identify bottlenecks and recommend improvements for efficiency.
- Analyse scheduling reports to surface the trends and patterns for identifying root causes of operational challenges and developing effective solutions.
- Contribute towards innovative work/service improvements by generating and presenting data-driven findings on scheduling solutions and student experience.
Digital Transformation Support
- Ensure new system features are usable, relevant, and well-supported.
- To complete tasks effectively and efficiently, sharing best practices and procedures using available data analytics tools.
- Support knowledge transfer on new automated systems and data platforms.
General Responsibility
- To support and perform any other duties as assigned by Senior Manager, Resources and Scheduling
Job Requirements
- Degree holder with at least 4 years of relevant working experience
- Proven strong leadership and project management skills
- Proven ability in data analysis and visualization tools (e.g., Power BI, Tableau). Demonstrated experience in process automation and ability to learn and master complex systems
- Proven ability in coding/programming (Python, SQL or equivalent) and data visualisation/dashboarding tools
- Excellent interpersonal and communication skills to influence and motivate stakeholders
- Excellent organizational skills and attention to details. Proven ability to thrive in a fast-paced environment
- Demonstrated commitment to continuous improvement, excellent customer service and teamwork
