Senior Executive (International Office), 1 Year Contract
About The Job
The Senior Executive provides executive support to office admin, coordinates official travel and end-to-end operations for inbound programmes, and supports administrative and financial follow-through for office level and Success Academy related matters. The role is central to the department's coordination, record-keeping and delivery discipline as GES establishes and scales its programmes.
The shortlisted candidate will work with the Manager and other Executives in Global Engagement and Strategy to support the department’s operations, programmes and international engagement. The role will take ownership of assigned projects and workstreams, manage stakeholders independently, exercise judgement in managing operational matters, and contribute to process improvement, analysis and departmental planning.
What You Will Be Doing
Key Responsibilities:
Executive & Central Administration
- Oversee key departmental processes including management meetings, departmental timelines, agreements, documentation and finance administration, ensuring timely follow-up and compliance with University requirements.
- Monitor agreements, budgets, project milestones and key deliverables; identify potential issues or risks and recommend appropriate follow-up actions.
- Prepare management briefs, reports and analyses by consolidating information across projects, programmes and partnerships to support planning and decision-making.
- Support the Marketing function, including carrying out relevant duties in accordance with the established continuity guide/handbook.
- Review and improve SOPs, workflows, trackers and administrative processes to strengthen operational efficiency, governance and continuity.
Projects & Programme Management
- Independently manage selected programmes, projects or workstreams from planning to completion, including timelines, budgets, stakeholders, logistics and post-project review.
- Engage internal and external stakeholders independently, coordinate requirements, resolve operational issues and escalate matters requiring management attention.
- Monitor programme performance, budgets, feedback and risks; analyse outcomes and recommend improvements.
- Support new programmes and initiatives through research, costing, operational assessment and preparation of proposals or management briefs.
Official Travel & International Engagement
- Manage selected senior management official trips end-to-end, including itineraries, partner engagements, internal approvals, briefing materials, travel arrangements and budget reconciliation.
- Support selected partnership engagements, including coordinating discussions, assessing operational requirements, preparing briefs and tracking agreed outcomes.
- Liaise directly with overseas partners, host institutions and internal stakeholders, address operational issues and ensure agreed follow-up actions are progressed.
Other Responsibilities
- Support partnership and departmental initiatives as assigned, including follow-up with partners and coordination across University units.
- Comfortable handling Administrative work alongside marketing/ digital content and communication - related task
- Share operational knowledge and good practices and provide cross-functional support to ensure continuity of key functions during staff absence.
Job Requirements
- A recognised degree with at least 2 years of relevant work experience; or Diploma with 4 years experience
- Experience in project/programme management, stakeholder engagement, administration or international education would be advantageous.
- Mature, meticulous and possess a high level of discretion and integrity
- Able to multi-task effectively and possess project management skills
- Good interpersonal skills
- Resourceful team player who is able to work independently and display initiative
- Proficient with Microsoft Office applications
- Experience arranging official or business travel, itineraries, airfare and accommodation bookings, travel approvals and expense claims, preferably including overseas trips for senior management.
- Working knowledge of finance administration processes (purchase orders, invoices, claims, budget tracking).
