What You Will Be Doing
This job holder will be required to perform administrative and operational duties as part of library services to support the learning, teaching, and research activities of the SUSS community.
Library Operations
- Support library operations and circulation services, including opening/closing, handling loans, renewals and reservations.
- Perform service desk duties, which include requests for loans and reservations, as well as answering library related enquiries on collection, services, circulation, facilities, and physical space etc. This will involve weekday evenings and weekends.
- Develop a good understanding of library users and their profiles through day-to-day ground engagement to discover gaps in collection/services and provide feedback to librarians.
- Support the upkeep of library equipment and facilities, ensuring they are in good working condition and that the library space is well-maintained.
- Train and provide guidance to part-time/contract staff and student assistants in their daily operational duties.
- Provide prompt assistance during incidents and emergency situations within the library.
- Prepare staff schedules for counter duties.
Library Service
- Provide operational support for the Scan & Deliver service, including processing requests, scanning materials, and ensuring timely and accurate fulfilment in compliance with copyright requirements.
- Perform inter-library loans, coordinate book collection, monitor external loans, ensure timely collection and return of resources, and maintenance of loan records.
Collection Maintenance
- Perform collection maintenance duties such as deselection and disposal of library resources, stocktaking, shelf-reading, and inventory management which entails moving, packing, organising and retrieving library resources.
- Compile and maintain collection data and usage statistics.
Administrative & Other Duties
- Provide secretariat support for departmental meetings.
- Monitor and manage the library common email account.
- Support outreach activities, exhibitions, programmes, and events.
- Assist in promotional efforts to raise awareness of library services.
- Curate and design simple library collaterals and promotional materials using graphic design tools such as Canva.
- Coordinate and disseminate library collaterals/notices to relevant departments.
- Perform other departmental and organisational duties as necessary or assigned.
Job Requirements
- A recognised Diploma
- At least 2-3 years of work experience, preferably in a library setting
- Able to work independently and as a team
- Service and detail-oriented
- Good communication and interpersonal skills
- Able to multi-task with good time management skills
- Familiar with MS Office (Word, PowerPoint, and Excel) and Canva
