About The Job
We are seeking a highly skilled Senior/Functional and Change Management Project Manager to lead the transformation of our Student Information Systems (SIS). The primary focus of this role is to enhance the student experience and improve operational efficiency within the Office of the Registrar (RO). The successful candidate will be responsible for overseeing the design, implementation, and management of new systems and processes while driving organizational change and stakeholder engagement.
What You Will Be Doing
Key Responsibilities
Functional Management Responsibilities
- Provide overall direction and drive functional tracks based on agreed Objectives, Design Principles and Outcomes.
- Responsible for overall review, documenting, acceptance and sign-off for the end-to-end to-be business processes and requirements.
- Disseminate information to relevant stakeholders and senior management where applicable to obtain the relevant feedback and approvals.
- Conduct business process analysis, re-engineering and optimization for RO and facilitate communication and collaboration among project teams and stakeholders to bridge the business and technical sides.
- Lead cross department business process design and manage stakeholders and change impacts.
- Lead and manage functional teams in determination of future business requirements and processes and key design decisions.
- Oversee the implementation of redesigned processes around new systems.
- Anticipate potential issues and risks to mitigate and/or escalate to project management as needed. Expedite resolution of escalated functional issues and blockers.
- Review and approve/sign-off project deliverables.
- Attend Project Governance Meetings.
- Assign functional tasks and provide guidance to the team members.
- Overall lead and coordinate User acceptance testing for assigned business processes to ensure satisfaction and comfort with new functionalities.
- Keep track and manage post implementation issues.
- Provide knowledge sharing to project team members and lead documentation of user guides.
- Work with relevant parties to manage the update of standard operating procedures.
Change Management Responsibilities
- Determines current state of readiness for change to identify potential areas of focus.
- Identifies key stakeholders and impacted groups for engagement.
- Clarifies Project/Business Sponsors’ vision to attain business alignment and project vision and goals.
- Aligns stakeholder understanding by communicating identified key messages to all stakeholders.
- Obtain stakeholder buy-in through involvement and consultation.
- Designs and executes project launch campaign with strategies to support transitions.
- Identifies activities that will maximise change readiness.
- Plans for formal, ongoing project communication.
- Undertakes organisational impact analysis.
Other Responsibilities
- Evaluate products in the market for add ons and review proposed integration plans for impacts.
- Evaluate change and/or enhancement requests and requirements for impacts and review proposals for adoption.
Job Requirements
- Degree in Business Administration, IT, or a related field, and at least 5 years of experience
- Proven experience in functional and change management and implementing strategies to support transitions, preferably in IHL environment.
- Strong analytical and problem-solving skills, with the ability to understand complex business processes and identify improvement opportunities.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
- Experience with business process modelling, requirements elicitation, and documentation techniques.
- Knowledge of system development life cycle (SDLC) methodologies and best practices, familiarity with Agile/Scrum methodologies is preferred.
- Proficiency in using business analysis tools and data reporting software.
- Ability to manage multiple projects and priorities in a fast-paced environment.
